Send and manage invitations

Invite teammates from the Members page. You send an email invitation, pick the teammate's role and which creators they can access, and the invite stays in the Pending invites tab until they accept it.

1. Send an invitation

Open the Members page and add the teammate:

  1. Go to Members in the app sidebar.
  2. Click Add member (top right). Only owners and admins see this button.
  3. Enter the Member email and Member name.
  4. Set the Role: Staff or Admin. You cannot assign Owner.
  5. Under Assign creator, pick one or more creators the teammate can access. Leave it empty for no creator access yet.
  6. Click Invite Member.

ChatSan emails the teammate an invitation with the subject "You've been invited to join [your organization] on ChatSan" and an Accept Invitation button.

Note: You can invite an email that doesn't have a ChatSan account yet. They create their account and set a password when they accept the invitation.

2. How the invitation works

The invitation is an email link tied to a one-time token, and it expires 14 days after you send it.

  • The link points to a unique token, so it works only for that one invitation.
  • The teammate must accept while signed in with the same email you invited. A different email is rejected.
  • On accepting, the teammate joins your organization with the role and creator access you set.
  • An accepted, rejected, or expired invitation can't be reused. Send or resend a new one instead.

Good to know: You can't invite someone who is already a member of your organization, or an email that already has a pending invitation to a different organization. ChatSan blocks both with an error.

3. Track pending invitations

See who hasn't accepted yet in the Pending invites tab:

  1. On the Members page, click the Pending invites tab.
  2. Each pending invite shows the email, name, a Pending badge, the role, who invited them, and the expiry date.
  3. Expired invites are hidden under View expired. Click it to show them.

The Members tab only lists people who have accepted. Anyone you've invited but who hasn't joined yet lives under Pending invites.

4. Resend an invitation

Resend if the teammate lost the email or the invite expired:

  1. Open the Pending invites tab.
  2. Find the invitation (it can be pending or expired).
  3. Click Resend invite.

Resending sends a fresh email, generates a new token, and resets the 14-day expiry. The old link stops working.

Note: There is no revoke button. A pending invitation goes away when the teammate accepts it, rejects it from their side, or it expires after 14 days. To stop someone who has already joined, remove the member instead.
