The email when a lead is ready

A qualified lead alert is the email ChatSan sends when a conversation is finished and the lead is qualified, so a human chatter knows it is time to take over and close. It is based on the conversation outcome, not the lead score.

What triggers the alert

The alert fires once, the first time a real conversation qualifies. A conversation qualifies in one of two ways:

  • The lead completes the offer: they confirm payment, or ChatSan detects a payment signal after the offer link is sent.
  • The conversation reaches its natural end without a sale.

Test conversations never send an alert.

Good to know: What qualifies a lead is the conversation outcome, not the score. A lead does not need a high lead score to qualify. The score still tells you which qualified leads to prioritize.

Who gets the email

ChatSan sends the alert to two groups, with duplicates removed:

  • Members assigned to that creator.
  • Org owners and admins.

If no one in the org has an email on file, no alert goes out. Assign members to the creator, or make sure the org has an owner or admin.

What the email contains

The subject line names the lead, for example "Sophie is Qualified by ChatSan 💸". The body gives you what you need to take over:

  • Lead - name, age, location, and job, when ChatSan has captured them.
  • Volume - how many messages ChatSan sent in the conversation.
  • Status - Qualified.
  • A View Completed Conversation button that opens the conversation in your dashboard.

Example: "Sophie is now qualified. Lead: Sophie, 34, from Lyon, nurse. Volume: 26 messages sent by ChatSan. Status: Qualified."

The email does not include the 0 to 5 lead score. Open the conversation to see the score and the full history.

Next: when the alert lands, take over the lead in conversation handoff →
